01Who we are
This notice explains how Brighter Future Studio Ltd ("we", "us", "our") collects and uses personal data in connection with The Decision Room. Brighter Future Studio Ltd is a company registered in England and Wales, company number 12550923, and is the data controller for the purposes of UK and EU data protection law.

02What we collect
We collect only what we need to run the event and to decide who is admitted.
- Application data. Name, work email, organisation, role, cluster, stage, and the free-text answers you give us. Collected through our application form.
- Report requests. Your email address, when you ask us to open Before Capital Flows.
- Partnership enquiries. Name, organisation, role, and the contents of your message.
- Attendance records. Ticket type, badge details, roundtable allocation, and dietary or accessibility requirements where you tell us.
- Photography and film. Images and footage captured at the event, used to document and promote future editions.
- Technical data. Standard server logs from our hosting provider. We do not use advertising or cross-site tracking cookies.
03Why we use it, and on what basis
We use personal data for the following purposes.
- Reviewing applications and curating the room. Basis: legitimate interests, in running a curated, approval-based event.
- Delivering the event. Basis: performance of a contract with you, or steps taken at your request before entering one.
- Sending the published record and edition updates. Basis: consent where required, or legitimate interests for corporate subscribers. You can withdraw at any time.
- Documenting the event through photography. Basis: legitimate interests. You may ask us not to use an image in which you appear.
- Meeting legal and accounting obligations. Basis: legal obligation.
Requesting the published record and joining our mailing list are separate choices. We will send you the record whether or not you opt in to updates.
05International transfers
Some of our providers process data outside the UK, the EEA, or Switzerland. Where that happens, we rely on the UK International Data Transfer Addendum, the European Commission's Standard Contractual Clauses, or an adequacy decision, as applicable. You can ask us which safeguard applies to a specific provider.
06How long we keep it
- Unsuccessful applications: up to 24 months, so we can consider you for a future edition.
- Attendee records: up to 6 years after the edition, for accounting and continuity between editions.
- Mailing list: until you unsubscribe, or after 24 months of no engagement.
- Photography and film: retained as part of the event archive. We will remove a specific image on request where reasonably practicable.
07Your rights
Subject to the conditions in the applicable law, you have the right to:
- access the personal data we hold about you
- have inaccurate data corrected
- have data erased
- restrict or object to processing, including profiling and direct marketing
- receive your data in a portable format
- withdraw consent at any time, without affecting processing carried out before withdrawal

If you are not satisfied with our response, you can complain to the UK Information Commissioner's Office at ico.org.uk, to your local EU supervisory authority, or to the Swiss Federal Data Protection and Information Commissioner at edoeb.admin.ch.
08Security and changes
We apply appropriate technical and organisational measures to protect personal data, and we limit access to those who need it to run the event.
We may update this notice as the event and our providers change. The effective date below shows when it was last revised. Material changes will be notified to anyone on our mailing list.
